Requesting Photocopies of Materials from NDL

<REGISTRATION>

The NDL offers user registration service for institutions. If your institution becomes a registered user, you can request photocopies of materials in the NDL through their Remote photoduplication service via NDL Online with your User ID and Password.

Registration is free of charge. The application form with a standard-sized envelope with return address (no stamp necessary) should be mailed to:

<SENDING REQUESTS>

  • To have an item copied and mailed, look it up on the NDL Online, choose "Remote photoduplication" in the Holdings, and specify the number of the volume or issue and the portion to be copied.
  • The NDL provides photoduplication services within the limits of the Japanese copyright law and "The NDL Rules Concerning the Use of Library Materials." For more detailed information on this restriction, please read "Information about Copyright."

<DELIVERY METHOD>

  • Copies and an invoice are sent by airmail. Airmail does not have a tracking number. If you would like a tracking number to prevent postal accidents, you can use an EMS service. In this case, you have to specify EMS in the "Notes on shipment" column of the "Remote request for photoduplication" screen of NDL Online. Please note the areas EMS is deliverable depend on Japan Post. Before selecting EMS, please check the Japan Post website.
  • Please note that NDL does NOT offer scanning services due to the Japanese Copyright Law.

<PAYMENT INFORMATION>

  • Fees for copying, postage and packaging will be charged. For copying fees, see "Photocopy fee Chart."
  • Payment can be done by:

Credit Card
Bank Transfer (in Japanese yen) - Bank fransfer requires additional transaction charges.

  • Payment by IFLA vouchers or International Reply Coupons are NOT accepted.
  • NDL does NOT send copies by fax or email due to the Japanese Copyright Law.

Requesting Materials (Books) from NDL

<REGISTRATION>

The libraries which wish to borrow materials from the NDL must submit the following documents to obtain NDL's approval.

1. The Application for the User Registration System for Interlibrary Loan Services to accept the following conditions:

  • The borrowed materials will be read only within the specified reading room under the supervision of the library staff.
  • The borrowed materials will not be copied or duplicated by any means.
  • If borrowed materials are lost or damaged, full compensation or replacement will be made.

2. A leaflet or brochure describing of your library to certify the applicant library's general description and activities.

3. Picture of the reading room of your library to certify that the applicant library is equipped with reading desks and chairs in the reading room in which the user will read the borrowed materials and that your staff can supervise the user (A picture contained in a leaflet or brochure is acceptable.)

<SENDING REQUESTS>

Via Internet: Please visit NDL Online to request materials from the NDL. A user ID number and password are required.

By fax or mail: Fill in the request form and send it to:

<RECEIVING MATERIALS>

  • The items are sent to the requesting library by registered air mail from one of the three NDL libraries (Tokyo Main Library, Kansai-kan, or ILCL), depending on which library holds the items.

<RETURNING MATERIALS>

  • Materials should be returned to the library from which they were sent by registered air mail. The borrowing library should bear the return postage fees.

<SERVICE CHARGE>

  • There is no service charges for borrowing materials. However, If the borrowed materials are lost or damaged, full compensation or replacement must be made by the borrowing library.
