Multi-Volume Sets Project (MVS): Application Criteria by Budget Size

Applicant Category 1: Smaller Institutions

Qualified smaller institutions are institutions with an annual Japanese materials acquisitions budget of less than $10,000 including monographs, serials, and digital resources. Applicants in this category qualify for 80% funding of the purchase price. All shipping and handling costs for small institutions are fully covered by Japan Publications Trading Company, Ltd., MVS’s co-funder and project manager in Japan.

  • Fully-published sections of very large sets not yet published in their entirety are considered for funding at the 50% level so long as the applicant makes a commitment to purchase the rest of entire sections with or without MVS support.
  • The final decision about grants is at the discretion of the MVS Committee based on a number of factors, including the number of applications received, the total cost of titles to be supported, and the characteristics of the institutions applying.

Applicants must make the following commitments:

  • Applicants must cover 20% of the purchase price as determined such by the MVS Committee.
  • An order must be placed for the awarded titles to Japan Publications Trading Company, Ltd. (JPT) within one month of award notification.
  • Full-level cataloging including Sino-Japanese original script of the awarded titles must be created in WorldCat no later than June 30th of the grant year.
    Each MARC record should contain the following note in the MARC 500 field:

    "NCC-funded title; to be lent locally and nationally according to normal ILL procedures. |5 [MARC institution code]"

    Replace “MARC institution code” with the institution's actual code. MARC institution codes may be found at http://www.loc.gov/marc/organizations/org-search.php. Note that MARC institution codes are not always the same as the OCLC holding symbols.
  • The awarded titles must be labeled as part of the MVS Collection, and circulate freely locally on-site and nationally through interlibrary loan.

 

Full compliance with cost-sharing and cataloging guidelines is required. 

Any deviation from these rules may result in an institution’s not being considered for MVS grants in a subsequent year.

Applicant Category 2: Traditional MVS Applicants

Traditional MVS applicants are institutions with an annual Japanese language acquisitions budget of more than $10,000. Applicants in this category may receive 75% funding of the purchase price of a title, of which no circulating copies exist in the United States, or 50% funding for a title, of which no more than one circulating copy exists in the United States providing that sufficient funds are available. All shipping and handling costs must be covered by the applicant in this category.

  • Fully-published sections of very large sets not yet published in their entirety are considered for funding at the 50% level so long as the applicant makes a commitment to purchase the rest of entire sections with or without MVS support.
  • The final decision about grants is at the discretion of the MVS Committee based on a number of factors, including the number of applications received, the total cost of titles to be supported, and the characteristics of the institutions applying.

  • Applicants must cover either 25% or 50% of the purchase price as determined such by the MVS Committee, and full shipping and handling costs (including insurance and any other charges).
  • An order must be placed for the awarded titles to Japan Publications Trading Company, Ltd. (JPT) within one month of award notification.
  • Full-level cataloging including Sino-Japanese original script of the awarded titles must be created in WorldCat no later than June 30, 2014.
    Each MARC record should contain the following note in the MARC 500 field:
